I've been working in digital solutions for roughly ten years, and HubSpot has sat at the center of most of that. Seven of those years, I've spent as a HubSpot Partner, and in that time I've worked through more than 150 implementations, migrations, and consulting projects, and somewhere past 10,000 hours inside the platform. That's a lot of portals. It's also a lot of chances to watch the same handful of problems turn up again and again. Here's what I keep coming back to: HubSpot almost never fails because it's the wrong tool. It fails because of the way it got set up. Lifecycle stages that have nothing to do with how the company really sells. Pipelines the sales team quietly stopped trusting. Automations firing at the wrong moment, or not firing at all with no one the wiser. Dashboards leadership doesn't believe, so they go rebuild the numbers by hand in a spreadsheet. So I don't lead with tactics. I start by working out how a business actually runs, then get HubSpot to match it. It sounds unglamorous, and it is. It's also the thing that keeps a migration from going sideways, stops automation from quietly breaking, and lets AI pull real weight inside a portal instead of just making mistakes faster. Mostly I care about one distinction: whether HubSpot ends up being the system a team runs the business on, or just an expensive address book everyone learns to work around.
